Job summary

The Project Coordinator is a professional possessing the in-depth knowledge and experience to aid in oversight of all aspects of STRAC. The Project Coordinator will work closely with the Director of Administration, Director of STRAC, RAC Executive Directors, Health System representatives, emergency management personnel and other community personnel to assist in coordination of all aspects of the Trauma and Healthcare system. Overall responsible for coordination of meetings and travel, tracking of attendance, minutes, and projects related to committees as assigned.

 

Responsibilities

  • Plan, schedule, and coordinate committee meetings, ensuring all necessary resources and materials are prepared.
  • Collaborate with team members to set agendas and distribute meeting materials in a timely manner.
  • Attend and actively listen in meetings, taking accurate and comprehensive notes.
  • Create and maintain detailed records of meeting minutes, action items, and project updates.
  • Organize and file documents, ensuring accessibility for team members and stakeholders.
  • Track project milestones, deadlines, and deliverables, providing regular updates to the project team.
  • Facilitate effective communication within the project team and across departments.
  • Collaborate with team members to ensure seamless information flow and coordination.
  • Assist in the preparation of reports, presentations, and other project-related documents.
  • Manage and maintain project calendars, ensuring deadlines are met.
  • Handle general administrative tasks, such as scheduling appointments, managing correspondence, and maintaining office supplies.
  • Serve as Scribe in the event of an RMOC activation.

 

Education:

  • Associate degree. Preferred bachelor’s degree in business administration, Project Management, or a related field.
  • Proven experience in administrative roles, particularly in project coordination.
